Position Summary

We are seeking a compassionate, highly organized Patient Care Coordinator to guide patients seamlessly through their care journey. This role serves as a central point of contact between patients, providers, and clinical teams, ensuring exceptional coordination of care, clear communication, and a consistently outstanding patient experience.

The Patient Care Coordinator will successfully complete 12 months of structured on-the-job training to develop proficiency in all aspects of the role. This includes gaining a comprehensive understanding of the medical practice and the full scope of Dr. Barrera’s surgical care, as well as aesthetic services such as spa treatments, neurotoxins, fillers, and laser procedures. The individual must be able to work within all policies and guidelines outlined in employee handbooks and practice protocols.

This role requires providing high-level Patient Care Coordinator services by professionally and compassionately guiding patients through their surgical and aesthetic journey. The coordinator is expected to achieve a cosmetic conversion rate of 65–80% within three months of the initial patient encounter, maintain an organized and consistent follow-through process for cosmetic patients, and provide monthly performance reports.

The position also involves comprehensive surgical coordination responsibilities, including obtaining prior authorizations, preparing and presenting patient estimates and quotes, scheduling pre-operative appointments and surgeries, ensuring patient payments are collected at least one week prior to surgery, securing and organizing all required documentation for the surgeon, attaching operative reports post-operatively, and notifying billing to submit insurance claims. Surgery coordination includes scheduling for internal operating rooms and hospital facilities, as well as coordinating necessary equipment and personnel.

The Patient Care Coordinator will support internal operating room projects and initiatives as assigned by the physician and work collaboratively with coworkers while representing a physician-driven practice with professionalism, competence, and discretion. Delivering superior customer service and patient care—both directly and indirectly—is essential, with a strong focus on service excellence, efficient processes, and clear communication.

The role also requires managing incoming calls and scheduling with the ability to answer more than 95% of calls without transferring or taking messages. Spa services may be provided as directed by the physician, with appropriate training, and additional duties may be assigned as needed to support overall practice operations and patient care excellence.
